When you think of a bookkeeper, you might picture someone entering invoices, reconciling bank transactions and making sure your accounts are up to date. And yes, that's an important part of what we do at Cashtrak.
But it's only part of the story.
Good bookkeeping isn't just about recording what has happened in your business. It's about understanding what those numbers mean, identifying opportunities and helping you make better decisions about what happens next.
At Cashtrak, we take the time to get to know our clients, understand how their businesses operate and look beyond the figures on a spreadsheet. And when a client needs a little extra support, we're here to help — not simply to send them their latest figures and leave them to work it all out for themselves.
The hidden value of a bookkeeper
A recent report by the Institute of Certified Bookkeepers (ICB), supported by accounting software provider Dext, explored how bookkeepers support UK small businesses beyond their day-to-day bookkeeping.
The findings highlight just how much more bookkeepers contribute than many business owners may realise:
84% of bookkeepers surveyed proactively share insights with clients, either regularly or when they spot something worth flagging.
59% say their clients come to them for guidance beyond basic bookkeeping.
57% see themselves as trusted advisers, rather than simply compliance specialists.
64% spend at least one hour a month providing guidance for which they don't separately charge.
These findings reflect something we believe strongly at Cashtrak: understanding the figures is only the starting point. The real value comes from using that understanding to help business owners run their businesses more effectively.
Real support when business gets tough
Running a business isn't always easy. Customer spending can fall, costs can rise and the hours in the day never seem enough. Even successful businesses can face periods where they need to step back, assess what is working and decide where to focus their efforts.
Recently, we contacted one of our clients after noticing a downturn in their figures and invited them to sit down with us to work through the options available. Because we work closely with our clients and regularly review their financial information, we already had a good understanding of their business and the challenges they were facing. Rather than simply reporting on the numbers, we discussed practical ways to improve the business and support future growth.
During our conversation, it became clear that one of the biggest barriers was time. Like many business owners, the client was spending so much time working in the business that there was little opportunity to focus on marketing, business development and other activities that could help generate new work.
Drawing on our experience of running our own business, as well as working with other clients who have faced similar challenges, we shared ideas, discussed potential improvements and explored ways to free up valuable time. Together, we identified practical steps that could help the client spend more time on marketing and growing the business, while improving efficiency in day-to-day operations.
This is the kind of support we believe good bookkeeping should make possible. It's not just about keeping records up to date and being compliant (although that is of course, incredibly important!) It's about understanding our clients' businesses, listening to their concerns, sharing our experience and helping them make informed decisions with confidence.
What else can your bookkeeper help you with?
Because we're regularly looking at your financial information, we can often identify things that might otherwise go unnoticed.
Here are some examples of how we can help:
Understanding where your money is going
Are your costs creeping up? Are you spending more on certain suppliers than you used to? Are there regular expenses worth reviewing? We can help you spot changes in spending and identify areas where you may be able to make savings.
Keeping an eye on cash flow
A business can appear profitable on paper but still struggle to pay its bills if money isn't coming in at the right time. By understanding your income, expenditure and payment patterns, we can help you identify potential pressure points and think ahead.
Spotting changes in performance
Comparing your current figures with previous months or years can reveal useful trends. Perhaps sales have dropped, costs have increased or one part of your business is performing differently. We can help you understand what has changed and explore what you might do about it.
Helping you make time for your business
Business owners often spend so much time working in their business that they struggle to find time to work on it. We can talk through your challenges, help you identify priorities and consider where better processes or changes to the way you work might free up valuable time.
Being someone you can talk to
Sometimes, you don't need a complicated report. You need someone who understands your business and will listen to your concerns. Whether you're considering a change, facing a difficult decision or simply unsure what your figures are telling you, we can help you work through the information you have.
Your bookkeeper should know your business, not just your bookkeeping
At Cashtrak, we want to build long-term relationships with our clients. That means taking the time to understand what you do, how your business operates, what you're working towards and what challenges you're facing.
We use that understanding alongside your financial records to provide relevant guidance and highlight things you may want to look at more closely.
You don't have to wait until your accounts are due, or until something goes wrong, to talk to us.
If you're concerned about rising costs, struggling to find time for business development, unsure why your cash flow feels tight or simply want to understand your figures better, we'd rather you asked us than struggled on your own.
And you don't need to be in trouble to benefit from a conversation. Looking at your figures regularly can help you identify opportunities, plan ahead and make informed decisions before small issues become bigger ones.
Our standard bookkeeping service includes more than keeping your records up to date. We take the time to understand your business and provide guidance arising from that work and our client conversations, without charging extra for meetings like the one described above. If you need more extensive, separately scoped advisory work, we'll discuss that with you first.
